Temperature recorders: the evidence that settles a reefer claim

A rejected reefer load turns into a paperwork fight fast. Here's what the temperature data actually proves, and what it doesn't.

A receiver refuses a load of produce, saying it arrived too warm. The shipper insists the reefer ran at setpoint the entire trip. The carrier says the unit never threw a fault code. Everyone has a story. Only one thing actually settles it: the data pulled from the temperature recorder.

Before that data gets pulled, it helps to understand what it can prove and what it can't.

What a temperature recorder actually records

Most reefer units log return air temperature — the air coming back into the unit from inside the trailer — not the surface or core temperature of the product itself. That log usually lives in the reefer's own telematics system. Separately, some loads carry independent data loggers, placed inside the trailer or tucked into a pallet, that record ambient or in-cargo temperature on their own timeline. Which method applies to a given load varies by commodity, by shipper requirement, and by carrier equipment, so it's worth confirming before the truck leaves the dock, not after a claim is filed.

Setpoint, return air, and product temperature are three different numbers

A driver sets a setpoint. The reefer cycles to hold return air near that setpoint. Product temperature lags behind both, especially if the load wasn't fully pre-cooled before it was stowed. A clean return-air log showing the unit held setpoint the whole way does not, by itself, prove the product was at the correct temperature when it left the dock. That gap is where a lot of reefer disputes actually live.

What the paper trail needs to show

To settle a claim quickly, the documentation needs to line up, not just exist. That generally means:

When a claim happens

The window to get useful data is short. Some units overwrite older readings once memory fills, and some resets clear the trip log entirely. If a receiver flags a temperature issue, pull the full trip report before the trailer is reused, photograph the reefer's display and the product on arrival, and keep the BOL's temperature instructions next to the recorder printout so the two can be compared line by line. Note who actually owns the data — the carrier's telematics feed, an independent logger, or both — because that determines who can produce it and how fast.
